Privacy Policy

Introduction
At aiWriter.ai ("we," "our," or "us"), we are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, and safeguard your information when you use our AI-powered writing tools and services.
Information We Collect
Information You Provide
- Content Input: Text, prompts, and content you submit to our AI writing tools for processing
- Saved Work: Writing kept in your account so you can return to it — saved documents, characters and worlds, and novel projects (outline, character bible, chapter text and summaries)
- Account Information: The name, email address, profile picture and account identifier Google gives us when you sign in — see “Google Sign-In and Your Google Account Data” below
- Communication: Messages you send us through contact forms or support channels
Information Automatically Collected
- Usage Data: How you interact with our services, including features used and time spent
- Device Information: Browser type, operating system, and device identifiers
- Log Data: IP addresses, access times, and pages visited for security and performance monitoring
Google Sign-In and Your Google Account Data
Accounts on aiWriter.ai are created with Sign in with Google. This section sets out specifically what Google user data we receive, why we receive it, who else sees it, how it is protected, and how long we keep it. It applies in addition to the rest of this policy.
What we access
We request only Google’s basic sign-in scopes: openid, email and profile. We do not request access to Gmail, Google Drive, Contacts, Calendar, Photos or any other Google service, and we have no ability to read them. From those scopes we receive and store:
- Your Google account identifier — the opaque ID Google issues for you
- Your email address, and whether Google has verified it
- Your name as it appears on your Google profile
- Your profile picture URL
We never receive, see or store your Google password.
How we use it
- To create and identify your account. Your Google account identifier is the key that your saved documents, characters, worlds and novel projects are attached to, and it is how we recognise you when you return.
- To show you which account you are in. Your name and profile picture are displayed in our own interface, to you.
- To email you about your account — billing receipts, service and security notices, and product email you can unsubscribe from at any time.
- To apply your plan and enforce our Terms, including plan entitlements, usage quotas and the safety rules in our Terms of Service.
We use Google user data for those purposes and no others. We do not use it for advertising or ad targeting, we do not sell or transfer it to data brokers, we do not use it to determine creditworthiness or for lending purposes, and we do not use it to train, fine-tune or evaluate AI models.
Who we share it with
We do not sell, rent or trade Google user data. We disclose it only to the service providers that run this site on our behalf, each limited to what its function requires:
- Cloudflare (hosting, database and CDN) — stores the account record
- Stripe (payment processing) — receives your email address so a subscription can be attached to you
- Resend (email delivery) — receives your email address in order to deliver a message we send you
We may also disclose it where required by law, or to protect the rights, property or safety of aiWriter.ai, our users or others, as described under “Data Sharing and Disclosure” below. Google user data is not shared with our AI service providers: your Google account details are not part of the prompt sent for generation.
How we protect it
Google user data is transmitted over encrypted connections (TLS) and stored encrypted at rest. Access is limited to the operator of the service and the automated systems that require it, behind authentication and access controls. Sign-in sessions are carried in cryptographically signed cookies, so an account cannot be impersonated by editing one.
How long we keep it, and how to remove it
We retain your Google account data for as long as your account exists. You can delete your account yourself at any time from your account page. Deleting it removes the account record — Google account identifier, email address, name and profile picture — along with the writing saved to it.
You can separately revoke aiWriter.ai’s access to your Google Account at any time from Google’s Third-party apps & services page. Revoking access stops future sign-ins; to also erase what we already hold, delete your account or email privacy@aiwriter.ai.
How We Use Your Information
We use the information we collect to:
- Provide and improve our AI writing services
- Process your requests and generate content based on your input
- Maintain and enhance the security and performance of our platform
- Communicate with you about our services and respond to your inquiries
- Analyze usage patterns to improve user experience
- Comply with legal obligations and protect our rights
Data Sharing and Disclosure
We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:
- Service Providers: With trusted third-party services that help us operate our platform, including Cloudflare (hosting/CDN), Stripe (payment processing), Google OAuth (authentication), and Google Analytics (usage measurement and traffic attribution — sets first-party cookies to distinguish sessions and visitors)
- Legal Requirements: When required by law, court order, or government regulation
- Safety and Security: To protect the rights, property, or safety of aiWriter.ai, our users, or others
- Business Transfers: In connection with a merger, acquisition, or sale of assets
Content Processing and AI Services
When you submit content to our AI writing tools:
- Your content is processed by our AI models to generate responses
- We may temporarily store your input and generated content for service delivery
- We may analyze the prompts you submit — including deriving non-identifying category labels (such as topic, tone, and use case) — to understand how the product is used and to improve our services and marketing
- We do not use your content to train, fine-tune or evaluate AI models. This is unconditional — there is no consent toggle and no exception
- Content processing may involve third-party AI service providers with appropriate data protection agreements
Data Security
We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include:
- Encryption of data in transit and at rest
- Regular security assessments and monitoring
- Access controls and authentication systems
- Secure data processing and storage infrastructure
Data Retention
We retain your information only for as long as necessary to provide our services and fulfill the purposes outlined in this policy. Content submitted for processing is typically deleted after completion of the request, unless it is saved to your account.
Work saved to your account. Some features store your writing so it is there when you return: documents you save in the writing canvas, characters and worlds you create, and novel projects. Novel projects are stored automatically as a side effect of using the feature rather than by a separate save action — the outline, character bible, chapter text and chapter summaries are written to your account as they are generated, so the next chapter can stay consistent with the last. This work is kept until you delete it or delete your account, both of which you can do yourself at any time (see “Your Rights and Choices”), or until we remove it under the “Content Removal” section of our Terms of Service. Deleting a document, character, world or novel project removes its stored text.
Prompt content. To understand how the product is used, we retain an opening excerpt of each prompt (approximately the first 50 words) together with non-identifying category labels (such as topic, tone, and use case). For signed-in users in standard mode we may additionally retain the full prompt text. This prompt text — both the opening excerpt and any full text — is automatically deleted after a limited period (no longer than 90 days); the derived category labels, which do not contain your prompt text, may be retained longer to analyse usage trends. You can request deletion of your data at any time (see "Your Rights and Choices").
Your Rights and Choices
Depending on your location, you may have the following rights regarding your personal information:
- Access: Request information about the personal data we hold about you
- Correction: Request correction of inaccurate or incomplete information
- Deletion: Request deletion of your personal information
- Portability: Request a copy of your data in a portable format
- Objection: Object to certain processing of your information
To exercise these rights, please contact us at privacy@aiwriter.ai
Cookies and Tracking
We use cookies and similar technologies to enhance your experience, analyze usage, and improve our services. You can control cookie settings through your browser preferences.
This includes a first-party analytics identifier (the aw_vid cookie) — a random value that lets us recognize a returning visitor and connect the prompts entered before sign-up with the account later created from the same browser. It contains no personal information and is not shared with advertising networks.
International Data Transfers
Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place to protect your information in accordance with applicable data protection laws.
Children's Privacy
Our services are not intended for children under 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will delete it promptly.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated (EST)" date. Your continued use of our services after such changes constitutes acceptance of the updated policy.
